Excel 2016 for Windows introduced a powerful set of Get & Transform Data tools. These tools, based on Power Query technology, enable you to easily connect, combine, and shape data coming from a variety of sources. Today, we are excited to announce the first step in a journey to support Power Query in Excel for Mac.

Power query is a great tool built by Microsoft that will help you work with data in Excel. This tool is great for connecting to various external data sources, querying and transforming data, or cleaning and parsing data.

  • Web pages, Facebook
  • Excel, CSV, XML, Text or Hadoop (HDFS) Files
  • A Folder
  • Various databases like MS Access, SQL Server, MySQL, Microsoft Azure SQL, Oracle, IBM DB2, PostgreSQL, Sybase, Teradata, OData etc…

This is available as an add-in for excel 2010 professional plus or 2013 and comes already built in for Excel 2016.

Unfortunately, if you’re not running Excel 2010 professional plus or 2013, then you will need to upgrade to Excel 2016 in order to use this feature as it’s not available for previous versions of Excel. Mac user are also out of luck.

There are both a 32-bit and 64-bit versions and which one you choose will depend on the version of Excel which you have installed.

Excel 2010

To check what version you have:

  1. Go to the “File” tab.
  2. Go to the “Help” section.
  3. Here you will see the product version, if it says professional plus 2010, then you’re in luck.
  4. Here you will either see 32-bit or 64-bit. Take note and download the correct Power Query add-in version accordingly.

Excel 2013

To check what version you have:

  1. Go to the “File” tab.
  2. Go to the “Account” section.
  3. Here you will see the product version.
  4. Click on the “About Excel” button.
  5. In the screen that pops up, at the top you will either see 32-bit or 64-bit. Take note and download the correct Power Query add-in version accordingly.

Excel 2016

Power query comes pre-installed in Excel 2016 but has been renamed to “Get & Transform” and is under the Data tab in the ribbon. If you have Excel 2016, then you don’t need to do anything to use it.

Download The Add-In

Go to the Microsoft website:

  1. Select your preferred language.
  2. Click the download button.

Select The Correct Version

  1. Select either the 32-bit or 64-bit version depending on your version of Excel.
  2. Click the next button.

Make sure Excel is closed and then click the download from the download bar from your browser.

Power Query Is Now Ready To Use

Now the next time you open up Excel, Power Query will be available to use under its own tab.

In Excel 2016, Power Query isn’t an add-in — it’s a native feature of Excel, just like charts and pivot tables are native features. If you’re working with Excel 2016, you don’t have to install any additional components. You’ll find Power Query in Excel 2016 hidden on the Data tab, in the Get & Transform group.

If you’re working with Excel 2010 or Excel 2013, you need to explicitly download and install the Power Query add-in. As of this writing, the Power Query add-in is available to you only if you have one of these editions of Office or Excel:

  • Office 2010 Professional Plus: Available for purchase through any retailer
  • Office 2013 Professional Plus: Available through volume licensing only
  • Office 365 Pro Plus: Available with an ongoing subscription to Office365.com
  • Excel 2013 Stand-alone Edition: Available for purchase through any retailer

If you have any of these editions, you can install and activate the Power Query add-in. Simply enter the search term Excel Power Query add-in into your favorite search engine to find the free installation package.

Note that Microsoft offers Power Query for both Excel 2010 and Excel 2013 in both 32- and 64-bit platforms. Be sure to download the version that matches your version of Excel as well as the platform on which your PC is running.

After the add-in is installed, activate it by following these steps:

  1. Open Excel and look for the Power Query command on the Insert tab. If you see it, the Power Query add-in is already activated. You can skip the remaining steps.
  2. From the Excel Ribbon, choose File→Options.
  3. Choose the Add-Ins option on the left, and then look for the Manage drop-down list at the bottom of the dialog box. Select COM Add-Ins and then click Go.
  4. Look for Power Query for Excel in the list of available COM add-ins. Select the check box next to each one of these options and click OK.
  5. Close and restart Excel.
